Setting Up Your Calendar

Let leads book directly with you — no back-and-forth, no missed appointments.

How Jtek Calendars Work

Jtek's built-in calendar turns your availability into a shareable booking page. Leads pick a time that works for them — and Jtek handles all the reminders, confirmations, and contact record updates automatically.

  1. Availability-based booking — You set the days and hours you're available. Leads only see open time slots — they can never book outside your defined hours, and Jtek automatically blocks off time when you have existing appointments.
  2. Syncs with Google Calendar and Outlook — Connect your existing Google or Outlook calendar and Jtek will check it in real time. If you have a dentist appointment on your personal calendar, that slot won't show as available to leads booking through Jtek.
  3. Automated reminders to both parties — When a lead books, Jtek instantly sends them a confirmation SMS and email. It then sends automatic reminder messages 24 hours and 1 hour before the appointment — to both you and the lead — to minimize no-shows.
  4. Bookings create or update contact records — When someone books through your Jtek calendar, if they're a new contact they're automatically added to Jtek. If they already exist as a contact, the appointment is logged to their record.
  5. You can create multiple calendars — One for consultation calls, one for in-person showings, one for a specific team member. Each gets its own booking link and availability settings.
Tip: Connect your Google Calendar before setting availability. Jtek reads your existing events and blocks off those times automatically, so you never accidentally double-book yourself.

Creating Your First Calendar

Setting up a new calendar in Jtek takes about two minutes. Give it a clear name that leads will see when they land on your booking page.

  1. Go to Calendars in the left sidebar — Click the Calendar icon. If you've never set one up, the page will be empty with a prompt to create your first calendar.
  2. Click "New Calendar" — A setup form will open on the right side of the screen. This is where you configure the name, duration, and description of this calendar.
  3. Give your calendar a name — Use something descriptive that leads will see on the booking page, like "15-Minute Intro Call," "Home Buyer Consultation," or "Property Showing Request." Keep it clear and benefit-oriented.
  4. Set the appointment duration — Choose from 15, 30, 45, or 60 minutes, or enter a custom duration. For first-contact calls with leads, 15–30 minutes is usually ideal. For in-person appointments, 45–60 minutes.
  5. Add a short description (optional) — This appears on your booking page below the calendar name. Use it to set expectations: "A quick call to understand your goals and see if we're a fit. No pressure."
  6. Click "Save" to create the calendar — Your calendar is created. The next step is setting your availability so leads know when they can book.

Tip: Start with one calendar for your most common appointment type. You can always create additional calendars for different meeting types later. Having too many options on day one creates choice paralysis for leads.

Setting Your Availability

Availability settings define when leads are allowed to book. Set this up to reflect your real working hours — you can always adjust it later as your schedule changes.

  1. Open your calendar's Availability tab — After saving your calendar, click into it and select the "Availability" tab. You'll see a grid showing the days of the week and time ranges.
  2. Toggle the days you're available — By default, weekdays may be toggled on and weekends off. Click the toggle next to each day to enable or disable it. Only enabled days will appear on your booking page.
  3. Set your hours for each day — For each enabled day, set a start time and end time. For example: Monday–Friday, 9:00 AM to 5:00 PM. Click the time fields to use the time picker.
  4. Add buffer time between appointments — Scroll down to find the "Buffer Time" setting. Set a buffer of 10–15 minutes between bookings so you have a moment to prepare before each call rather than jumping from one to the next.
  5. Set a minimum advance notice — The "Notice Required" setting prevents leads from booking same-day on short notice. A setting of 2–4 hours gives you enough time to prepare without blocking off too much future availability.
  6. Save your availability settings — Click Save. Your booking page will now only show the days and times you've defined.

Tip: Protect your focus time by only opening a few specific slots each day for booking — rather than your entire working day. You can create "blocked" times in your connected Google Calendar and Jtek will automatically hide those slots.

Getting Your Booking Link

Your booking link is a simple URL you can share anywhere — in a text message, email, social bio, or embedded on your website. Anyone who opens it can immediately book a time with you.

  1. Open your calendar from the Calendars page — Click on the calendar you just created. You'll land on its overview page showing its settings and stats.
  2. Find the Booking Link section — Scroll down or look for a "Booking Link" or "Share" section. Your unique booking URL will be displayed here — it looks something like jtek.pro/book/your-name/consultation.
  3. Click "Copy Link" — Click the copy button next to the URL. The link is now on your clipboard, ready to paste anywhere.
  4. Share it via SMS from Jtek — Paste the link into an SMS conversation with a lead. Something like: "I have some time this week — here's a link to grab a spot: [link]" works extremely well for converting warm leads to booked calls.
  5. Add it to your email signature — Paste the link into your email signature as "Book a call with me." This passively converts every email you send into a potential appointment without any extra effort.
  6. Embed it on your website (optional) — Jtek also gives you an embed code so you can drop the booking calendar directly into any page on your website.
Tip: In your automations, use the booking link as part of your follow-up SMS sequence. After an initial contact, send a message 24 hours later that includes your booking link. This converts leads to booked calls without any manual outreach.

Testing a Booking

Before you share your booking link with real leads, do a test booking to make sure everything works end-to-end — the booking page, the confirmation, and the calendar entry.

  1. Open your booking link in an incognito window — Copy your booking URL, open a new Incognito or Private browser window, and paste the URL. This simulates exactly what a lead will see when they visit your booking page.
  2. Verify the booking page looks correct — Confirm your calendar name, duration, and description are displaying correctly. The available time slots should reflect the availability you set. If something looks wrong, go back and adjust your settings.
  3. Book a test appointment — Select any available time slot. Enter a test name, your personal email, and your personal phone number when prompted. Click Confirm to complete the booking.
  4. Check your email and phone for confirmation — Within about 30 seconds, you should receive a booking confirmation email and SMS at the contact details you used for the test. Open and review them — this is exactly what your leads will receive.
  5. Confirm the appointment appears in Jtek — Go back to Jtek and open your Calendars section. Your test appointment should now appear on the calendar. Also check that a new contact record was created (or updated) with the details from the test booking.
Tip: After your test, delete the test contact from Jtek so it doesn't muddy your real contact list. Go to Contacts, find the test entry, open it, and click Delete Contact at the bottom of the page.
Tip: Check the reminder message that goes out 24 hours before your test appointment (you can see it in the contact's activity feed). Make sure the language sounds like you — if it's too generic, customize the reminder template in your calendar's notification settings.
