How to Get Out of a BoldTrail (kvCORE) Contract
The exit in four moves
- 1Read the termFind the length, the renewal date, and the notice rule.
- 2Export firstCSV with tags and notes, before you give notice.
- 3Import elsewhereMap columns once, check the row count.
- 4Cancel in writingEmail, keep the reply, note the effective date.
The short answer
Read the term, export your contacts, then cancel in writing, in that order. BoldTrail (the new name for kvCORE) is usually sold under a quote or agreement with its own length, renewal clause, and notice rule, so the exit depends on what you or your brokerage signed. Pull the contract, find the end date and the notice window, get a full CSV of your database while you still have access, and send your cancellation by email so you have a dated reply. If money is in dispute, talk to an attorney before you pay or sign anything.
You signed up on a good demo, the quote looked fine, and now it is month nine and you are texting leads from your phone because the system is too much to run. Somewhere in an email thread is a contract with a number of months on it. This is a very common spot for agents, and the fix is boring, which is good news: a short sequence done in the right order.
This is a how-to, not legal advice. I have no way to see your agreement, and terms vary by plan and by who holds the account. What follows is the order that protects your database first and your wallet second.
Step 1. Read the term before you email anyone
Open the quote or agreement and find four things: the start date, the length of the term, whether it renews on its own, and how much notice you need to give. Write each one down with the page it came from. BoldTrail has no public price list, so what you signed is the only source of truth, and sales calls do not count for much once a renewal date passes.
Then check who the customer is. If your brokerage holds the account and you are a seat on it, the term and the cancellation are the brokerage’s business, and your move is a conversation with your broker. If you signed for yourself, the notice goes to the vendor. Mixing these two up is how agents send a perfectly good cancellation to the wrong person.
Step 2. Export your contacts before you give notice
Do this one early. Access can change once notice is on file, and the contacts are the part you cannot rebuild. Ask for a CSV with names, phone numbers, emails, tags, and notes. Some exports come back as names and emails only, so open the file and check that the columns you care about are there and the row count roughly matches your database.
Grab the pieces a CSV will miss while you are still logged in: your lead sources, your saved search or smart list names, and a screenshot of the two or three follow-up plans you actually use. You are not copying their software. You are keeping a record of how you work so you can rebuild it in an afternoon.
Export checklist
- CSV includes name, phone, email, tags, and notes
- Row count in the file is close to the count in the app
- You saved your lead source names and active follow-up plans
- You downloaded any email templates and text snippets you use
Step 3. Import it somewhere you own
Before you cancel anything, have the new home ready, so no lead lands in a gap. In Jtek that means one trip to the import screen: choose a CSV import, upload the file, and match each column to a field once. The import history shows how many records were found and how many had errors, which is the quick check that nothing got dropped.

Import data
Upload a CSV file, map fields, review your data, and import records.
Start CSV ImportConnect your HubSpot account to import data, including records and custom fields.
Connect HubSpot| Source | Status | Objects | Records found | Errors |
|---|---|---|---|---|
| contacts-export.csv | Completed | Contacts | 1,284 | 0 |
Once the file is in, your contacts show up in a smart list you can sort and tag. Buyers, sellers, and sphere become tags you can filter by, so the segments you built before carry over.

Jtek is a real estate CRM you own, with texting, calling, email, scheduling, and automation in one account for $60/month flat. Try it free for 14 days, cancel anytime.
One honest heads-up on the rebuild. If you want texting on the new account, carrier registration (A2P) takes 1 to 5 business days before texts can go out. Register early so the wait overlaps with your notice period instead of landing after it. Email and calls work meanwhile. For a longer walk through the rest of the setup, our real estate CRM setup guide covers lead sources and follow-up.
Step 4. Cancel in writing and keep the reply
Send the cancellation by email, to the address named in your agreement if there is one. Keep it short: your name, the account or login email, the plan, and the date you want service to end. Ask them to confirm the effective date and any final charge in a reply. Save that reply somewhere outside the system you are leaving.
If you were told on a call that you could leave early or that a fee would be waived, ask for it in the same email. A verbal promise you cannot show later is worth little. And if a balance is claimed that does not match your agreement, do not pay it in a hurry and do not ignore it. Ask for an itemized statement and get advice from an attorney or your state association.
When staying is the better call
BoldTrail is built to run a brokerage: lead generation, IDX websites, team tools, recruiting, and back office under one roof. Jtek does not do IDX search or sell leads, so if home search on your own site is the reason you pay, or your broker pays the bill and the tool fits how you work, staying put is a perfectly reasonable decision. Our kvCORE review goes through what it does well.
The agents who feel stuck are mostly the ones paying for a platform they use as a contact list and a texting tool. For them, the cost is a bundle they never touch. Check the renewal date, because a lower-cost exit often just means waiting for the term to end and not renewing. If you are weighing options, the kvCORE alternative comparison lays them out side by side.
The order that works
Know the term, take your data, set up the new home, then send the notice. The contacts are the one thing you cannot rebuild, so they go second.
